How does a Zoho CRM pipeline differ between Mumbai trades?

Worked example: a 10-user freight forwarder in Andheri East

This is an illustration with made-up numbers, not a client. A freight forwarder has six salespeople, three customer-service executives and one owner. Rate enquiries arrive on a shared mailbox and on personal WhatsApp. Nobody can say how many quotes were sent last month or how many became bookings.

The CRM we would build for a team like this has:

  • one pipeline with five stages: enquiry received, rate quoted, negotiation, booking confirmed, lost with reason;
  • a quotation template that carries lane, cargo type, rate and validity date, sent from the record;
  • an alert to the owner when a quote is three days from expiry without a reply;
  • an account view showing every shipment a customer has booked, so customer service can spot accounts that have gone quiet;
  • a weekly report of enquiries, quotes and bookings by salesperson and by lane.

Where a project lands in the range depends on the number of lead sources to connect, whether quotations and approvals are included, and how much old data needs cleaning before import.

What happens in each week of the project?

  1. Week 1: count the leaks. You export the last few months of enquiries from mailboxes, portals and spreadsheets. We count how many came in, how many got a reply and how many became orders.
  2. Week 2: agree stages and rules. A workshop with the sales head, on video or in Mumbai, to fix what each stage means, who may discount and when a deal is marked lost.
  3. Weeks 3–4: build the core. Modules, fields, pipeline, lead sources and assignment rules. You review the system with your own data at the end of each week.

A smaller team with two lead sources and no quotations finishes nearer four weeks. A team that needs approval steps, several pipelines or a large data clean-up uses the full eight. How do you get a Mumbai sales team to use the CRM?

Salespeople in this city spend much of the day travelling between customers. A CRM that needs a laptop will be updated on Saturdays from memory, if at all. Three things help:

  • Keep the number of mandatory fields small, and fill the rest automatically from the lead source wherever possible.
  • Set up the mobile app so a visit, a call note or a follow-up date can be logged in under a minute between meetings.
  • Give the sales head one pipeline report and run the weekly sales meeting from it. When the meeting uses the CRM, the team keeps it current.

What does measuring a sales process look like?
