What is Zoho One?

Zoho One is one subscription that bundles Zoho's business applications: CRM, Books, People, Inventory, Desk, Projects, Analytics, Creator and more. Zoho sells it in two ways. All-employee pricing licenses every employee in the company. Flexible-user pricing licenses only the people who need it.

The value of the bundle comes from the apps sharing data. A customer created by the sales team in CRM is the same customer the accounts team invoices in Books and the support team answers in Desk. That only happens when the apps are set up to a common plan, with one customer list, one item list and agreed rules for who owns each record.

When is Zoho One the right choice?

Zoho One is not always the answer. A company with one clear problem is often better served by one product, and a company that makes or distributes goods should look at Zoho ERP as well. The table gives our working view.

A practical test: list the departments that will use the system in the first year. If the list has one name, start with a single product. If it has three or more, compare the cost of those products bought separately with the cost of Zoho One for the same people.

Across every department the same four jobs are included: agreeing the process, cleaning and migrating data, connecting the app to the others, and training the people who will use it. Few companies need every row in the first project. The proposal lists the rows that are in scope and those left for later.

These are benchmarks and your quote may differ. Implementation fees exclude Zoho licences.

Four things move a quote within or beyond these ranges: the number of legal entities, the number of users and roles, the volume and condition of the data to be migrated, and the number of integrations with other systems. The commercial terms are the same on every project. You receive a fixed-price proposal after a free 30-minute discovery call, the work is delivered in phases, and 30 days of support after go-live are included. A monthly retainer is available afterwards and is optional.

How much will the Zoho One licences cost?

Licences are a separate cost from implementation. You buy them from Zoho and the subscription stays in your company's name. Zoho sets the rates and revises them, so we do not print a Zoho One price on this page. Two places give a current figure:

The decision between the two pricing models depends on how many of your employees will use the system. If almost everyone will log in, all-employee pricing is worth pricing first. If only office staff will use it and a large shop-floor or field team will not, price the flexible-user model. We work through this with you during discovery, before you pay Zoho for anything.

In what order do we roll Zoho One out?

Departments go live one at a time. The order below is the one we use most often. It changes when a company has an urgent problem elsewhere, such as a payroll deadline.

  1. Discovery and counting. We map how leads, orders, money and people move today and count what is in the current systems: customers, items, open invoices, employees.
  2. Process definitions. Stage names, approval limits and record ownership are agreed in writing before any app is configured.
  3. Sales first. Zoho CRM goes live first. It carries no statutory risk, the team sees a result within weeks, and the clean customer list it produces is needed by every later phase.
  4. Finance second. Zoho Books is configured and the master data migrated. The old and new ledgers run in parallel, and the new one goes live only after an accountant has matched them.
  5. Operations third. Inventory, Projects or Desk follow, depending on whether you sell goods, deliver projects or run a service desk. They depend on the customers and items already settled in the first two phases.
  6. HR and payroll fourth. People and Payroll are scheduled to start with a pay month, so that the first payroll run is a complete one.
  7. Dashboards last. Analytics is built when the other apps hold real data, so that management reviews real numbers.
  8. Training and support. Each role is trained on its own screens at the end of its phase. Thirty days of support follow the final go-live.

There is a review every week during the build. For a 25-user company the full sequence normally fits within the 6 to 12 week benchmark.

What do we need from you?

An implementation partner cannot decide how your company should run. The projects that finish on time have these five things in place on the client side.

An owner or senior manager who can settle process questions and attends the weekly review.

A coordinator

One person inside the company who collects data, chases answers and becomes the admin after go-live.

Access to current data

Staff released for role-based sessions, and an agreed date after which the old tool stops being used.

Can you rescue a Zoho One account that is not being used?

Yes. A common situation is a company that bought Zoho One, set up CRM or Books partly, and now pays for apps nobody opens. We begin with an audit before proposing any new work. The audit records:

  • which apps are configured, which are in daily use, and which have never been opened;
  • how many licences are assigned and how many of those users log in;
  • where customers, items or employees are duplicated between apps;
  • which automations and integrations exist and whether they still run;
  • what management wants to see each week and cannot.

The result is a short written report and a fixed-price plan in phases. In some cases the right advice is to move to a single product and stop paying for the bundle, and we will say so.

What happens after go-live?

The first 30 days after go-live are covered in the project price. In that period we fix what real use exposes, answer user questions and adjust reports. After that, most clients choose between handling changes through their own admin and taking a monthly retainer for ongoing changes, new users and new apps.
