What is Zoho One, and how is it licensed?
Zoho One gives a company the Zoho apps under one subscription, one admin panel and one login for each employee. The apps share customers, items and users, so a deal won in CRM can become an invoice in Books and a ticket in Desk can show the customer's order history.
Zoho sells it in two ways, and the choice changes the bill more than anything else.

Worked example: a 25-user consumer brand in Lower Parel
This is an illustration, not a client. A consumer brand has 25 office staff in Lower Parel covering sales, marketing, accounts, customer care and operations, and 60 packers and loaders at a warehouse in Bhiwandi. It sells through its own website, marketplaces and about 200 retail stores.
The first decision is licensing. Under all-employee pricing all 85 people need a licence at the lower rate. Under flexible-user pricing only the 25 office staff need one, at the higher rate. Multiply both out with the current Zoho prices before deciding.
The second decision is the order of work. A plan that fits the 6–12 week benchmark:

The parallel run for accounts continues for 30 days, so in practice it overlaps the later phases.
How does a Zoho One project run remotely?
- Discovery call. Thirty minutes on video, free, followed by a fixed-price proposal that lists the apps, phases and dates.
- Count what exists. We measure the data in your current tools before designing anything: how many customers are duplicated, how many items lack a price, how many enquiries were never followed up.
- Agree definitions. One workshop per department, on video or in Mumbai, to settle the rules the system will enforce.
- Build one app per phase. A fixed weekly review where each department head sees their own app with their own data.
- Connect the apps. CRM to Books, Books to Inventory, People to Payroll, and everything to Analytics. This is the step that separates Zoho One from a set of separate tools.
- Train by role. Short recorded sessions for each team, so a new joiner in Mumbai can be trained without us.

How is Maharashtra payroll handled inside Zoho One?
Zoho People holds employees, attendance, leave and shifts. Zoho Payroll calculates salaries with PF, ESI and TDS, and with Maharashtra Professional Tax and Labour Welfare Fund for establishments in the state. When is Zoho One the wrong choice?
If all you need is accounting and GST, buy Zoho Books on its own and save the difference. If your main problem is production planning and stock across plants, Zoho ERP is the better base. If fewer than five or six people will use the system and only for sales, Zoho CRM alone is enough. A smaller project that gets used every day is worth more to you than a full suite that sits idle, and we will say so on the call.
